Purchase module updates:
Purchase – Dashboard – Approver Dashboard – New widget added
We have added a new customizable widget, “Department Expenditure By General Ledgers,” to the Approver Dashboard. This widget displays GL Code, Approved Expenditure, Pending Expenditure, Budget, and Remaining Budget for a selected department. Negative remaining budgets are highlighted, and GL Codes are clickable links to the corresponding detailed report.
Purchase – Advanced reporting – Department total Budget Info report Pending Expenditure update
The Pending Expenditure table in the Department Total Budget Info report now includes tabs for All, Standard, Non PO Invoice, and Credit Note transactions.
Purchase – Advanced Reporting – Total Expenditure by Department, added new column ‘Pending Expenditure’
Added a new “Pending Expenditure” column to the Total Expenditure by Department report. Pending Expenditure is now included in the Remaining Budget calculation.
Purchase – Advanced Reporting – Added new column for customization to Purchase Order Item Receiving Report
We have added a new “Invoiced Quantity” column for customization on the Purchase Order Item Receiving Report.
Purchase – Punch Out – New Order page Copy Phone Number from selected Delivery Location
On the New Punchout Order page, the phone number is now automatically copied from the selected Delivery Location to the Delivery Phone field. The number remains editable.
Purchase – New setting added to make Budget Month mandatory
We have added a new setting to make the “Budget Month” field mandatory on new and edit PO pages when the Budget Month feature is enabled. This setting is disabled by default.
Purchase – Added Invoices waiting for my approval as a new option for customization to Purchase Approver dashboard
We have added “Invoices waiting for my approval” as a new widget option for the Purchase Approver dashboard. When the “Department at invoice line item” feature is enabled, the widget includes a department filter with an “All” option.
Accounts Payable module updates:
Accounts Payable – Advanced approval – New option added for forwarding invoice for approval
Users with ‘Administer’ or ‘Approve’ permissions for an invoice can now forward it for approval, even if they are not part of the current approval process, preventing workflows from getting stuck.
Accounts Payable – Your Invoices > Waiting For Authorization section – Next button has been added to Invoice View Page
We have added an “Invoice Approval Next” button to the Invoice View page when accessed from “Your Invoices > Waiting For Authorization,” allowing for faster processing of multiple invoices.
Accounts Payable – Cost Code filter added on Invoice Search page
Cost Code filter has been added on the Invoice Search page for easier document filtering.
Accounts Payable – AP Automation – AP Automation to Non PO Invoice Item detection
AP Automation can now automatically populate item details (Code, Name, Qty, Price, Tax) on the Reconcile New Non PO Invoice page. It also automatically assigns the Default GL Code, Cost Code, and Tax, and supports copying custom fields from the Supplier to the Invoice.
Accounts Payable – Added Recognized Total as available column to Invoice Document search result table customization
We have added “Recognized Total” as an available column for the Invoice Document search result table customization.
Accounts Payable – New option has been added to set PO/Non PO Invoice items layout as single line layout
We hae added a new “Single Line” layout button for PO/Non PO Invoice items, restoring the pre-.20 release view, renamed the “List” button to “Simple”. Also, we have renamed the “Details” button to “Multi Line”. The Multi Line layout is the new default, and the user’s selection is saved for all invoices.

Control Panel updates:
Control Panel Update – Department – Option restored to Add/Remove/Edit Gl Code By Department
Due to customer feedback, the ability to Add, Remove, and Edit GL Codes by Department has been restored on the Department Add/Edit page. Instead of deletion, GL Codes can now be archived.
Control Panel Update – New option added to create invoice document rules
Added a new “Rules” feature to automatically archive or tag received Invoice Documents based on conditions (similar to Outlook rules). Conditions can be set for email Subject, Body, and Sender.
Control Panel Update – New option added for GL Code By Department, Taxes and GL Codes search pages to open in new tab
Added the ability to open GL Code By Department, Taxes, and GL Codes search pages in a new browser tab.
General updates:
General Update – Custom alert – New feature added to set custom alert for Purchase Order
We have now introduced a powerful new feature to create custom alerts for Purchase Orders, similar to Sage Intacct Smart Events – Two alert types are available: Warning (triggers a popup) and Custom Notification (sends an email).
Alerts can now be triggered on actions like Create, Final Approve, and Receive Goods.
Conditions can now be built using a wide range of PO and PO Item properties. This is accessible via a new “Custom Alerts” link in the Control Panel’s Advanced Settings.
General Update – Default Dashboard – New options added to lock default dashboard for customization and to override existing users dashboards
We have added new options when saving a default dashboard to lock it from user customization and to override existing users’ dashboards with a confirmation warning.
AP Max:
AP Max – Invoice sender – auto-responder email updated for successfully received invoices
The autoresponder email for successfully received invoices has been updated with a new, clearer template that includes instructions for suppliers, and it goes as follows:
‘Thank you for your invoice.
This is an automatic reply just to let you know that your invoice has been successfully received.
This mailbox is only monitored for invoice processing.
Please only send invoices to this email address, and please ensure your invoice contains the corresponding Purchase Order number.
