PLANERGY Release Notes – Version 10.0.23
We are pleased to announce PLANERGY version 10.0.23, a comprehensive update focused on enhancing financial accuracy, streamlining integrations, and providing greater administrative control. This release delivers crucial workflow improvements, expands our Sage Intacct integration, and introduces powerful new tools for invoice and purchase order management to boost efficiency across your organization.
1. Financial Management & Accuracy
- Precision in Budget Tracking: Corrected the calculation of pending expenditure for edited Purchase Orders. The system now accurately reflects only the difference between the original and edited order totals in pending expenditure across all widgets, reports, and budget checks, preventing double-counting.
- Enhanced General Ledger Reporting: The General Ledger By Department Total Budget report now includes a new “GL Total” column, which clearly shows the total amount allocated to a specific GL code per Purchase Order, providing more precise financial analysis.
- New Cost Code Restrictions: Administrators can now restrict Cost Codes by department. A new setting, when enabled, allows the configuration of which Cost Codes are available when a specific department is selected on Purchase Orders, Invoices, and Credit Notes, ensuring stricter budgetary compliance.
- Option to Disable Discounts: Added a new application setting to completely disable the discount column on Purchase Order and Invoice items. When enabled, the discount field is hidden and cannot be unhidden, simplifying the interface for organizations that do not use this feature.
2. Procurement & Purchase Order Enhancements
- Default PO Form Layout: Administrators can now define a Default PO Form Layout in the Control Panel. This layout will be automatically applied to all new users, ensuring a consistent starting point and simplifying onboarding. Users with existing custom layouts remain unaffected.
- Improved Line Item Referencing: Added line numbers as the first column in the Purchase Order Items table on Add/Edit/View pages and in the Goods Receiving items section. This provides clear, quick reference points for communication with requisitioners regarding specific items, prices, or GRNs.
- Enhanced Goods Received Notifications: Goods Received Notifications now include the “Item Total Received Quantity”, giving recipients immediate visibility into cumulative receipt totals against the purchase order.
- Waiting For Approval Dashboard Insight: A new column, “Days Awaiting Approval”, has been added to the Purchase and Invoice “Waiting For Approval” tables. This column calculates the time elapsed since an item was forwarded for approval, helping to prioritize reviews and improve approval cycle times.
3. Accounts Payable & Invoice Processing
Invoice Document Management Suite:

- “Clear Items” Button for PO Invoices: Added a “Clear Items” button below imported items on the Reconcile New PO Invoice page, matching the functionality on the Non-PO Invoice page for quickly resetting the items list.
- Automated “A – Received” Tag: A new default tag, “A – Received”, is now automatically applied to all PO invoice documents where goods have been received for invoicing. This complements the existing “A – Unreceived” tag, providing immediate status clarity and aiding in prioritization.
- Color-Coded Tags: Introduced the ability to assign colors to Invoice Document tags, enabling visual categorization and faster scanning of the invoice queue.
- Enhanced Search & Customization: New columns are available for customization on the Invoice Documents search page, including Invoice Number, Days Since Received (calculated from email date), and Invoice Due Date (invoice date + credit days).
- Credit Note Validation: Added a duplicate check for Credit Note Reference Numbers upon entry and save, preventing errors and maintaining data integrity, similar to the existing invoice number validation.
- Automatic Custom Field Population: GL Code custom field values are now automatically copied to Credit Note Items and Invoice Items when the custom fields share the same name and type, reducing manual data entry.
4. Integrations
Sage Intacct
- Export of Adjusting Transactions: Added support to export Over Invoiced Orders and Not Invoiced Orders to separate, configurable Purchase Transactions in Sage Intacct. This allows for the proper reversal of commitment postings directly within the integrated workflow.
- Configurable GL Posting Date: A new setting, “Default GL Posting Date to export date,” allows the GL Posting Date on exported invoices to default to the export date itself, rather than the invoice date.
- Granular Billable Item Control: Enhanced control over billable status with two settings:
- Export all items as billable (global override).
- Map a specific Invoice Item custom field (of switch type) to determine the billable flag per item.
- Enhanced Journal & Budget Import: Added new bulk import buttons to import all Journals (current & previous year), all Budgets (Department, GL Code, GL by Department), and all Payments (current & previous year) in a single action.
- Improved Journal Entry History: Updated the Journal Entry Item import history to include the Department (where applicable) and improved the clarity of status messages.
QuickBooks & Xero
- QuickBooks Credit Notes: Added functionality to export Credit Notes to QuickBooks.
- Xero Journal Entries: Introduced a new option to import Journal Entries from Xero.
5. Administration & Control Panel
- Setting Clarification: Renamed the setting “All companies have the same start of financial year” to the more descriptive “Account level start of financial year (Departments across companies under a master department).”
- Static Text Custom Field Refinement: “Static Text” custom field types now support clickable links in view mode. When the field’s value is locked, the editor panel is completely hidden in edit mode, making it truly static.
- Inventory Job Access: The Inventory Job page is now accessible to standard users (in addition to administrators), broadening operational capabilities.
- GL Code Management: The GL Code filter on the GL Code By Department page is now a searchable drop-down list for easier navigation. Added functionality to unarchive archived GL Code By Department entries.
- Search Performance: Refactored the Invoice Document search to improve performance and clarity by optimizing label prefixes and underlying queries.
6. User Interface & Notifications
- Clearer Notification Status: Updated the notification center layout to more clearly indicate “read” status, improving visibility through enhanced contrast or visual indicators.
- Configurable Comment Replies: Added a new setting to remove the “quick reply” link from comment notification emails, giving administrators control over the preferred communication channel.
- Chronological Notifications: User notifications are now ordered by creation date in descending order (newest first), ensuring the most recent alerts are at the top of the list.
