PLANERGY Release Notes – Version 10.0.22

We are excited to announce the release of PLANERGY version 10.0.22, delivering a robust suite of enhancements designed to provide greater administrative control, deeper financial insights, and a more streamlined user experience. This update introduces advanced budget visualization, powerful new reporting tools, significant Sage Intacct integration improvements, and refined workflows for both procurement and accounts payable teams.

1.Administration & System Management

  • Enhanced User & Role Management: Archived departments are now highlighted in red on user and role permission lists. This visual cue provides immediate clarity, helping administrators easily distinguish between active and inactive departmental permissions.

Advanced Custom Field Configuration:

    • Department-Specific Drop-Down Values: Administrators can now assign a specific department to individual drop-down list custom field values, enabling precise control over which options are available to different parts of the organization.
    • Bulk Import for Drop-Down Lists: Introduced the ability to import drop-down list custom field values from a file, streamlining the setup process for extensive option lists.
    • Lock Default Values: A new “Lock Default Value” option prevents users from changing a custom field’s default entry, even when it is auto-populated from another source (e.g., a supplier record), ensuring data consistency.
    • New “Static Text” Field Type: Added a versatile “Static Text” custom field type. It functions as a rich text editor in edit mode—allowing formatted text and links—and displays as static, styled text in view mode, perfect for instructions, notes, or disclaimers.
  • Flexible Department Hierarchy: A new system setting, “All companies have the same start of financial year,” unlocks advanced organizational structuring. When enabled, sub-departments can be allocated from a different company than their master department, accommodating complex multi-company hierarchies with aligned fiscal calendars.
  • Improved Data Export: The Delivery Location Code is now available as a selectable column when customizing Delivery Location data exports.

2. Procurement & Purchase Order Enhancements

Improved Supplier Collaboration:

    • Email PO as Attachment: A new application-level setting allows Purchase Orders to be sent to suppliers as PDF email attachments, in addition to the standard in-body format, meeting specific customer requirements for document handling.
    • Streamlined External Communication: To simplify dialogue with external users like suppliers, email notifications for comments no longer include a “log in to view” link. The email now contains only a clear “Add Comment” link, reducing confusion and keeping all correspondence seamlessly within PLANERGY.

Intelligent Data Entry & Automation:

    • Automatic Field Population: When selecting a Delivery Location on a new Purchase Order, if a custom field on the delivery location matches the name of a field on the PO, the value is automatically copied over, eliminating manual re-entry.
    • Context-Aware Custom Fields: Drop-down list (DDL) custom field values on Purchase Order add/edit pages are now dynamically filtered based on the selected department, presenting users only with relevant, applicable options.
  • Expanded E-Procurement Network: The PLANERGY CheckOut browser extension now supports six additional supplier online catalogs, including The Works, Vevor, and Raspberry Pi Shop, broadening your sourcing capabilities.

3. Accounts Payable & Invoicing

Stronger Financial Controls & Visibility:

    • Budget Check for Non-PO Invoices: The powerful Budget Check feature is now available on Non-PO Invoice pages. It provides a detailed, department-level pop-up view of expenditure, approved amounts, and remaining budget, mirroring the functionality previously reserved for POs.
    • Approval Guardrail for Unreceived Goods: A crucial new setting, “Block PO Invoice Approval If Invoice Includes Not Received Items,” enhances compliance. When enabled, invoices linked to POs can be reconciled even if goods aren’t received, but the approval process is blocked until all items are marked as received.

Streamlined Invoice Reconciliation:

    • “Clear Items” Button: Added a dedicated “Clear Items” button to the Reconcile New Non-PO Invoice page, allowing users to quickly remove all line items and start the reconciliation process anew.
    • Context-Aware Item Fields: Drop-down list custom field values for Invoice Items are now intelligently filtered by the selected department on invoice add/edit pages.
  • Enhanced Report Navigation: The ‘Invoice URL’ column in the Invoice Documents export and related custom reports has been corrected. It now provides a direct link to the invoice document reconcile page for unreconciled documents, enabling users to jump straight to the required action from their report.

4. Reporting, Dashboards & Analytics

  • Enhanced Budget Visualization: The Department Expenditure By General Ledger widget has been updated with improved visual alerts. It now highlights the ‘Remaining Budget’ column and introduces orange highlighting when remaining budget falls below 40%, providing clearer, at-a-glance warnings. A new ‘Percentage of Remaining Budget’ column has also been added for quick analysis.

New Supplier & GL Code Analytics:

    • Supplier Expenditure Tracking: Two new dedicated reports—“Total Expenditure By Supplier” and “Rolling 12 Months Expenditure by Supplier”—provide deep insights into vendor spending trends.
    • GL Code Expenditure by Supplier: A new cross-dimensional report and a corresponding dashboard widget analyze expenditure by both General Ledger code and supplier, complete with Top-N and financial year filtering.

Greater Report Flexibility & Clarity:

    • Granular Date Filtering: Added “From” and “To” date filters to the Invoices Count By Company report for precise, user-defined period analysis.
    • Configurable Dashboard Views: The Invoices Count By Company dashboard widget now includes a TOP N selector (5, 10, 20, 40, 80), allowing users to control how many leading companies are displayed.
    • Clearer General Ledger Reporting: The Department Expenditure By General Ledgers widget now displays the GL Description alongside the GL Code, making financial data immediately more understandable to all users.
    • Refined Journal Order Reporting: The Journal Orders tab in the Department Total Budget Info report has been updated with more relevant columns, including Journal Order Internal Notes and Journal Entry Number, replacing less critical fields.

5. Sage Intacct Integration

  • Bidirectional Supplier Synchronization: Achieve full vendor data harmony with the new ability to export Suppliers created or updated in PLANERGY directly to Sage Intacct.
  • Eliminated Major Restriction: The significant limitation of exporting only one Purchase Order per invoice to Sage Intacct has been removed. You can now seamlessly export invoices that consolidate multiple POs.

Enhanced Data Fidelity & Control:

    • Flexible Item Field Export: Added an option to export Sage Intacct item custom field data on invoices, even when the PO export feature is disabled.
    • Configurable Billable Status: A new integration setting allows administrators to define whether all exported invoice items should be marked as “Billable” in Sage Intacct by default.

Improved Journal Entry Handling:

      • Journal Entry line item memos are now incorporated directly into the PLANERGY Journal Order line item name in a clear format (e.g., “GJ 2 Line 1: ‘Memo Text'”).
      • Journal Entry descriptions are automatically copied into Journal Order Internal Notes upon import.
      • Resolved an import failure scenario; the system now attempts to import journal entries to the master department if the GL code is unavailable for a missing sub-department.
  • Streamlined Operational Workflow: Editing an invoice’s GL Posting Date no longer triggers a full invoice re-approval cycle, simplifying corrections.

6. General Usability & Improvements

  • Increased Comment Capacity: The character limit for comments has been increased by 67%, from 300 to 500 characters, in direct response to user feedback.
  • Richer Custom Alerts: Custom Alert warning messages now utilize a rich text editor, enabling the use of formatted text, highlights, and embedded URLs to create more impactful and actionable notifications.
