Edit PO by Approver During the Approval Process

What’s New

PO approvers can now edit a Purchase Order (PO) while it is going through the approval process instead of sending it back to the requester to request they make the amendment.

The option is available when Edit PO During Approval Process is enabled.

Why It’s Useful

Approvers can correct straightforward issues themselves, reducing unnecessary back-and-forth with requesters and helping approvals move forward more quickly.

Who Can Use It

The approver currently assigned to the approval step can edit the PO while the approval request is with them.

How to Enable It

An administrator for your account should request that the feature be enabled by submitting a support ticket.

How It Works

While reviewing the PO, the assigned approver can edit information and save the changes.

If the updated PO still matches the requirements for the existing approval workflow, then the current approval workflow continues.

If the changes require a different approval workflow, PLANERGY warns the approver before resetting the approval process and moving the request into the appropriate workflow.

When the workflow is reset it is recorded in the audit trail.

After the approver approves the PO, editing is no longer available to that approver.

Important To Know

Changing information that determines the applicable approval workflow can restart the approval process. This includes changing the department, value of the PO, or any custom fields linked to custom steps in the approval workflows.

Batch Actions: Cancel Purchase Orders

What’s New

A new Cancel option is available on the Purchase Order Batch Actions page, allowing multiple POs to be cancelled in one batch.

Why It’s Useful

You can cancel large groups of Purchase Orders more efficiently instead of processing them individually. This is particularly useful during financial close.

Who Can Use It

Only users with Administration > Company > Add or Edit permission have access to the Batch Actions page. Only users with that permission and also Purchase > Order Cancellation permission can use the Cancel Batch Action.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

1. Open the Purchase Order Search page.

2. Press the Batch Actions button in the Advanced Search section to open the Batch Actions page.

3. Upload the Purchase Orders to be processed.

4. PLANERGY will validate the POs and any errors will be shared in the table.

5. Press the Cancel button.

6 PLANERGY cancels the uploaded POs as a single batch and the full value of the PO is returned to the relevant budgets.

Important To Know

A maximum of 1,000 Purchase Orders can be processed in a single upload.

Batch Actions: Close Invoicing and Close Receiving

What’s New

The Close Invoicing and Close Receiving batch actions now also return the outstanding commitment values to the budgets.

Why It’s Useful

You can close invoicing or receiving for large groups of Purchase Orders more efficiently instead of processing them individually. This is particularly useful during financial close.

Who Can Use It

Only users with Administration > Company > Add or Edit permission have access to the Batch Actions page. Only users with Purchase > Close Invoicing permissions can use the close invoicing batch action. Only users with Purchase > Goods Received permissions can use the close receiving batch action.

How to Enable It

How It Works

1. Open the Purchase Order Search page.

2. Press the Batch Actions button in the Advanced Search section to open the Batch Actions page.

3. Upload the Purchase Orders to be processed.

4. PLANERGY will validate the POs and any errors will be shared in the table.

5. Press the Close Invoicing or Close Receiving button.

6. PLANERGY updates the status of the POs as a single batch and returns any outstanding commitments to the related budgets.

Important To Know

A maximum of 1,000 Purchase Orders can be processed in a single upload.

Batch Actions: Transfer Committed Not Invoiced Expenditure to Next Financial Year

What’s New

A new Transfer Committed Not Invoiced option is available on the Purchase Order Batch Options page, allowing multiple POs outstanding commitment value to be moved into the next financial year in one batch.

Why It’s Useful

Outstanding commitments can be transferred into the new financial year in bulk. This helps year-end processing by carrying relevant outstanding committed expenditure that has not yet been invoiced into the next financial year without requiring users to recreate the remaining commitment manually.

Who Can Use It

Only users with Administration > Company > Add or Edit permission have access to the Batch Actions page. Only users with Purchase > Order On Behalf permissions can use the transfer committed not invoiced batch action.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

1. Open the Purchase Order Search page.

2. Press the Batch Actions button in the Advanced Search section to open the Batch Actions page.

3. Upload the Purchase Orders to be processed.

4. PLANERGY will validate the POs and any errors will be shared in the table.

5. Press the Transfer Committed Not Invoiced button.

6. PLANERGY updates the status of the original PO as closed for invoicing, returns the outstanding committed value to the original year’s budget, and adds an ‘-NICT’ suffix to the PO number for all the POs in the batch.

7. PLANERGY creates a new PO in the new financial year with the original PO number including only the lines that were still an outstanding commitment for all the POs in the batch.

Important To Know

A maximum of 1,000 Purchase Orders can be processed in a single upload. The process changes the original PO number by adding ’- NICT’ and creates a replacement PO in the next financial year. Items on the new PO will be marked as received if they were received on the original PO.

Purchase Order Invoice Tab: New Values For Received Total and Received Outstanding

What’s New

When receiving is closed on a Purchase Order, the Invoice tab now shows two additional values: Received Total and Received Outstanding.

Why It’s Useful

Users can see what has actually been received and how much of that received value still remains to be invoiced, giving a clearer view of the remaining commitment.

Who Can Use It

Users who can view the Invoice tab on a Purchase Order can see the new values when receiving is closed.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade. The fields appear automatically on relevant Purchase Orders after the update.

How It Works

When a user closes the PO in receiving step the two new fields are added to the Invoices tab for the PO. Received Total shows the value of the received items on the PO. Received Outstanding shows the received value that is still outstanding to be processed on an invoice.

Important To Know

The fields only appear for POs with a closed receiving status.

Pending Expenditure Column on Department Budget Balance by PO Report

What’s New

The Department Budget Balance by PO report now has an additional Pending Expenditure column available.

Why It’s Useful

Budget owners can see the value of requests in the approval process but not yet committed to in this report making it easier to understand the full budget position.

Who Can Use It

Users who have access to the Department Budget Balance by PO report can use the new column.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

The column is available to include on the report.

How It Works

Run the Department Budget Balance by PO report as usual. Pending Expenditure is shown as an additional report column alongside the existing budget and expenditure information.

Important To Know

The column represents committed expenditure that has not yet been finalised.

Amend Invoice Option

What’s New

For invoices using an Approval Type other than Standard Approval, an Amend option is now available during approval, with Reject still available as a secondary action.

Why It’s Useful

Approvers can return an invoice to the person who originally processed the invoice for correction with a clear reason avoiding the need to delete invoices and start the processing again..

Who Can Use It

Approvers reviewing PO or Non-PO invoices that are using an Approval Type other than Standard Approval.

How to Enable It

No separate feature setting is specified. The Amend option appears when the invoice is being approved using an Approval Type other than Standard Approval.

How It Works

1. Press the Amend button during invoice approval.

2. Enter the reason for the amendment and press the Amend button to submit it.

3. PLANERGY sends a notification to the user who processed the invoice.

4. The approval process restarts and original reconciler can edit the invoice, resolve the issue, and restart approval.

5. The reason for the amendment request and the user who requested it are recorded in the invoice audit trail.

Important To Know

Standard Approval is a workflow that has a requirement for a single approver and relies on the user permissions of the users to define who can approve. If there is an Accounts Payable tab in your Control Panel > Approval Rules and there is a section for PO Invoice of Non PO Invoice then you are using an Approval Type that is not Standard Approval for that type of invoice.

The approver can already press an Edit button and make changes themselves when Standard Approval type is in use.

Using Amend restarts the approval process. Reject remains available as an option when the invoice should not continue processing.

Edit Invoices by Approver During the Approval Process

What’s New

A new setting, Edit Invoice in advanced approval process, allows the assigned approver to edit PO and Non-PO invoices while the approval request is with them. The setting is disabled by default.

Invoice approvers can now edit an invoice while it is going through the approval process instead of sending it back to the requester for amendment.

The option is available when Edit Invoice During Approval Process is enabled.

Why It’s Useful

Approvers can correct appropriate invoice details without always sending the invoice back for amendment, which can reduce approval delays.

Approvers can correct straightforward issues on invoice coding themselves, reducing unnecessary back-and-forth with the person processing the invoice and helping approvals move forward more quickly.

Who Can Use It

The approver currently assigned to the approval step can edit the invoice while the approval request is with them.

How to Enable It

An administrator for your account should request that the feature be enabled by submitting a support ticket.

How It Works

– While the invoice approval request is with the assigned approver, the approver can edit the PO or Non-PO invoice.

– When the approver saves changes, PLANERGY checks whether the updated invoice still follows the same approval workflow.

– If the edits require a different workflow, PLANERGY warns the approver that saving will reset the approval process.

While reviewing the invoice, the assigned approver can edit information and save the changes.

If the updated invoice still matches the requirements for the existing approval workflow, then the current approval workflow continues.

If the changes require a different approval workflow, PLANERGY warns the approver and notifies the user that processed the invoice before resetting the approval process.

When the workflow is reset it is recorded in the audit trail.

After the approver approves the PO, editing is no longer available to that approver.

Important To Know

Changing information that determines the applicable approval workflow can restart the approval process. This will depend on what Approval Type setting you have in place. For example, Predefined List approval will be impacted by total invoice value and if custom fields linked to custom approval steps are edited.

Standard Approval is a workflow that has a requirement for a single approver and relies on the user permissions of the users to define who can approve. If there is an Accounts Payable tab in your Control Panel > Approval Rules and there is a section for PO Invoice of Non PO Invoice then you are using an Approval Type that is not Standard Approval for that type of invoice.

It is most common that PO Invoice approval uses Standard Approval and Non-PO Invoice approval uses Predefined List Approval.

When using Standard Approval is in use the approver can already press an Edit button and make changes themselves.

Invoice Document Assignment

What’s New

You can now assign an Invoice Document to a specific user, see the latest assignment details, review the full assignment history, filter and report by who is assigned to invoices, and view documents assigned to you from a dedicated page.

Why It’s Useful

Assignment creates clear ownership of the next action for an invoice during the processing and approval steps. The assigned user can see what requires their attention, while the finance team can identify unassigned work or documents that may be delaying processing and payment.

Who Can Use It

Users that can access the Invoice Documents page or have access to view invoices, or non-PO invoices or invoice documents can also assign them to another user. For Invoice Documents view – Invoice Visibility is required. If Invoice is PO invoice – PO invoice visibility for a user is required.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

When on the Invoice Documents search, or viewing an invoice document or saved invoice, a new icon shows to allow the – Use Assign from an Invoice Documents search row or from the Invoice Document view page.

– Select an eligible user, or set the document to Unassigned. A reason can be entered optionally before saving.

– The Latest-Assignment Strip on relevant Invoice Document and invoice pages shows the current assignee, reason, who made the assignment, and when.

– Use Assignment History to review every assignment, reassignment, and unassignment in reverse chronological order. History entries are read-only.

– Open Your Invoices > Invoice Documents Assigned to Me to see documents currently assigned to the signed-in user.

– Use the Assigned To User filter in Invoice Documents advanced search or Invoice search to find documents assigned to a specific user, Unassigned documents, or Any assignment state.

– Optional Assigned User and Reason columns can be enabled from the column-visibility chooser on both searches.

Important To Know

– Assignment history cannot be edited or deleted.

– Items leave Invoice Documents Assigned to Me automatically when they are processed, reassigned, or unassigned.

– The Latest-Assignment Strip is hidden for manually keyed invoices.

– On Invoice search, the Unassigned filter excludes manually keyed invoices; those invoices still appear under Any with blank assignment cells.

– Assigned User and Reason columns are hidden by default.

What’s New

PO Number, Tag, and Status are now available as optional columns on Invoice Search. The previous Status column, which represented posting status, has been renamed Posting Status. The new Status column represents approval status for the invoice.

Why It’s Useful

Users have additional options to tailor Invoice Search to show more of the information they need without opening individual invoices. The clearer Posting Status label reduces ambiguity between the two types of status for invoices.

Who Can Use It

Users who have access to Invoice search can add the new optional columns in their customization settings.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

  1. Press the cog wheel icon above and to the right of the Invoice Search results table.
  2. Select the columns you want to appear in your results table. PO Number, Tag, and Status are now available options.

Important To Know

PO Number, Tag, and Status are optional columns and may not appear until they are selected in the customization options. The previously available Status field has not been removed; its column has been renamed Posting Status.

Forward Invoice Document as Email

What’s New

A Forward button has been added to the Invoice Documents page and the Add, Edit, and View Invoice Document pages, allowing the email originally received by into the Invoice Documents section to be forwarded as an email from PLANERGY.

Why It’s Useful

You can share or escalate the original invoice email directly from the Invoice Documents page to external emails or to transfer invoices that have been sent by the supplier to the wrong company’s invoice inbox.

Who Can Use It

Users who can access Invoice Documents, View Invoice Documents, or view saved invoices will have access to forward invoice documents.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

1. Press the new Forward icon in the Action column of the Invoice Documents page for the relevant invoice you want to forward. The icon is also present at the top right of the invoice document view section when viewing an invoice.

2. PLANERGY forwards the email that was originally received into Invoice Documents.

Important To Know

The feature forwards the original email and attached document associated with the Invoice Document.

3. Integrations

iplicit: Direct Integration

What’s New

PLANERGY now integrates directly with iplicit through an API-based integration. Master data can be synchronised into PLANERGY and approved invoices can be exported directly to iplicit.

Why It’s Useful

The direct integration reduces manual duplication between systems and helps keep finance master data and approved invoice posting aligned.

Who Can Use It

This feature is for PLANERGY customers using iplicit as their finance system.

How to Enable It

An administrator for your account should request that the feature be enabled by submitting a support ticket.

The integration must be configured before synchronisation or invoice export can be used.

How It Works

1. Connect PLANERGY to iplicit using the new integration configuration.

2. Synchronise Companies (Legal Entities), Departments, General Ledger Accounts, Taxes, Suppliers, Payment Terms, and supported analytical dimensions including Projects, Items, Cost Centres, and Funds from iplicit into PLANERGY.

3. Approved invoices can be exported directly into your iplicit account with all relevant data included.

Important To Know

Master data imports from iplicit to PLANERGY. Approved invoices export from PLANERGY to iplicit.

Sage Intacct: Configurable Supplier Email on Import

What’s New

A new Sage Intacct integration setting controls whether the First or Second supplier email address in Sage Intacct is imported into PLANERGY.

Why It’s Useful

Customers with more than one supplier email field in Sage Intacct can choose which address PLANERGY should import for use as the supplier email address POs should be sent to by PLANERGY.

Who Can Use It

PLANERGY customers using the Sage Intacct integration with Administration > Company permissions have access to the Sage Intacct settings page to change the setting.

How to Enable It

On the Sage Intacct Settings page within the Object Mapping section you can set Supplier Email as First or Second.

How It Works

When suppliers are imported from Sage Intacct, PLANERGY uses the configured Sage Intacct email field.

Important To Know

The setting affects the supplier import only. Export of approved suppliers from PLANERGY to Sage Intacct is currently not configurable and uses the first email address.

Sage Intacct: Journal Import Department Mapping for Sub-Departments

What’s New

Journal import now supports PLANERGY structures where sub-departments are linked to Sage Intacct Location values through a custom field.

Why It’s Useful

For single entity Sage Intacct configurations, you can now use Location (as a custom field assigned to the Department) plus Department to correctly align journals against budget.

Who Can Use It

Sage Intacct integration customers whose PLANERGY structure uses sub-departments mapped to Sage Intacct Location values.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade and will work for the specific configuration automatically.

How It Works

– During journal import, PLANERGY identifies the master Department from the Journal Entry Department then uses the Journal Entry Location to identify the corresponding sub-department for the journal to be linked to.

– The matching relies on the Location custom field stored on the sub-department.

Important To Know

The mapping relies on a 1:1 relationship: each sub-department must hold a single Location custom-field value.

4. Administration & Control Panel

Department Multi Year Budgets Now Support Up to 5 Years

What’s New

The Department multi year budget interface has been updated so the current financial year loads first, with other year content loaded when needed. A new “+” control allows additional financial-year budget tabs to be added.

Why It’s Useful

The revised interface improves clarity and performance when working with Departments that have multiple financial-year budgets. It also makes it possible to approve expenditure further into the future (up to 5 years).

Who Can Use It

Users with Administration > Shared > Departments permissions for Add or Edit.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

– On the Edit Department page, only the current financial-year tab is displayed and its content is loaded immediately. The budget is saved and updated when the Save button is pressed.

– If you select a different financial year tab after making unsaved changes, PLANERGY asks whether you want to save those changes.

– Additional financial years can be added using the green “+” button at the far right of the financial year tabs.

– If an existing tab contains unsaved changes, adding another year triggers the same save warning.

Important To Know

Existing budget tabs cannot be removed.

An unsaved new financial-year tab prevents another new tab from being added until it is saved. General Ledger by Department budget type now inherits from the Department and can no longer be changed independently.

Multi Year Budgets on GL Code by Department

What’s New

The Multi Year budget type is now available as for GL Code by Department budgets. The updated layout and behaviour for multi-year using the same financial-year tab approach as Department multi-year budgets.

Why It’s Useful

You can manage General Ledger by Department budgets across multiple financial years in the same way Department budgets can be managed, improving consistency in financial planning and budgetary control.

Who Can Use It

Users with Administration > Shared > Departments permissions and also Administration > Shared > General Ledgers can manage General Ledger By Department budgets.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

– On the Add General Ledger By Department page a new Budget Type, Multi Year, is available.

– On the Edit General Ledger By Department, you can add additional financial years using the green “+” button at the far right of the financial year tabs.

– The same unsaved-change prompts used on Department multi-year budgets apply when switching tabs or adding financial years.

– When both the Department and GL Code by Department use multi-year budgets, relevant GL Code budgets for the financial year appear together on Department Edit and View pages.

Important To Know

GL Code by Department and Department budget types must match in order to save. Existing annual GL Code by Department budgets are migrated to multi-year as part of the upgrade.

GL Code by Department: Budget Type, Start of Financial Year, and Open Budget Filters

What’s New

GL Code by Department search now includes Budget Type, Start of Financial Year, and Open Budget filters. Financial Year and Open Budget are also available as optional Basic Export columns for multi-year records.

Why It’s Useful

You can find the relevant GL Code by Department records more quickly and export financial-year and open-budget information for analysis, administration, or preparing an import for a bulk update.

Who Can Use It

Users with Administration > Shared > Departments permissions and also Administration > Shared > General Ledgers can access the General Ledger By Department page.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

– On the General Ledgers By Department search, Budget Type can be filtered by All, Project, Annual, or Multi Year.

– Start of Financial Year provides a range from the previous five years through the next five years, plus a default “–Select –” option that will show all financial years.

– When Start of Financial Year is selected, results are limited to GL Code by Department records that contain a multi-year budget for that period.

– Open Budget can be filtered by All, Yes, or No.

– The filters also apply to the exports.

– Financial Year and Open Budget can be selected as export columns in the Export customisation options. Separate rows will show for the GL Code and Department combination per financial year in the export.

Important To Know

When Open Budget is set to Yes, results include GL Code by Department records with an open multi-year budget as well as all Project and Annual records. Financial Year and Open Budget export values are populated only for multi-year records.

GL Code by Department: Financial Year and Open Budget Import Columns

What’s New

The GL Code by Department import template now supports Financial Year and Open Budget columns for multi-year budgets.

Why It’s Useful

You can upload bulk updates for budgets in different financial years and to bulk open budgeting periods making multi-year budgets much easier to manage.

Who Can Use It

Users with Administration > Shared > Departments permissions and also Administration > Shared > General Ledgers can access the General Ledger By Department page and use the Import From File option.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

– When importing General Ledger By Department budgets use Financial Year values from -5 through 5, where 0 represents the current financial year.

– If Financial Year is left empty, PLANERGY defaults it to the current financial year.

– Use Yes or No in Open Budget to set the budget status.

– Both fields are processed only when the GL Code by Department budget type is Multi-Year.

Important To Know

Financial Year and Open Budget do not apply to non-multi-year GL Code by Department budget types.

What’s New

Department Advanced Search now includes Open Budget and Close Budget buttons with a Financial Year selector to carry out bulk administration of multi-year budgets.

Why It’s Useful

You can open or close a financial year across all Departments matching a filtered search, including the related GL Codes by Department, instead of updating each record individually.

Who Can Use It

Users who have access to Department Advanced Search and the relevant budget administration actions (Department View and Department Edit permissions for a user).

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

– Use the Department Advanced Search filters to define the Departments you want to affect.

– Select a Financial Year.

– Press the Open Budget button to bulk open the selected financial-year budget. This will open the budget for all matching multi-year Departments and their assigned GL Codes by Department.

– Press the Close Budget button to close the selected financial-year budget for the same matching records.

Important To Know

The actions apply to Departments using multi-year budgets and to GL Codes by Department assigned to those Departments.

5. Dashboard & Reporting

Category Filter Shows Tiers on Dashboards and Reports

What’s New

The Category filter in Advanced Reporting dashboards and reports now displays the full category tier hierarchy.

Why It’s Useful

Users can see where a category sits in the hierarchy and choose the correct level when filtering or drilling into reporting data.

Who Can Use It

Users with access to Advanced Reporting dashboards and reports that have a Category filter.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

Open a supported Advanced Reporting dashboard or report and use the Category filter. The filter now presents the category tiers so you can select the appropriate level of granularity.

Important To Know

This changes how categories are presented in the filter; it is intended to make tier relationships clearer when selecting reporting criteria but will be different to the old display format.

Unreceived Items Column on PO Level Receive Report

What’s New

The PO level Receive report now includes Total Quantity Not Received. Two related column labels have also been updated: Total of goods in PO is now Total Quantity Ordered, and Total goods received is now Total Quantity Received.

Why It’s Useful

Users can see ordered, received, and outstanding quantities using clearer and more consistent terminology, making it easier to identify what still needs to be received.

Who Can Use It

Users with access to the PO-level Receive report.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

Run the PO-level Receive report as usual. The report displays Total Quantity Ordered, Total Quantity Received, and the new Total Quantity Not Received value.

Important To Know

The existing data has not been removed; two existing columns have been renamed to align with the terminology used by the Unreceived Items report to have better consistency in the reporting.

ALL Option on Department Expenditure Dashboard Panels

What’s New

An ALL filter option is now available on Department Expenditure by Supplier, Cost Code, Purchase Item Category, User, and Location.

Why It’s Useful

Users with the required permissions can analyse expenditure across Departments from a single dashboard panel instead of selecting and reviewing Departments individually. This makes the relevant dashboard panels flexible for management level reporting.

Who Can Use It

Users who have access to the relevant Department Expenditure dashboard panels.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

Open one of the supported Department Expenditure widgets and choose ALL in the filter to view the data across all Departments that you have permission to see data for rather than restricting it to one Department.

Important To Know

What’s New

A new Comments dashboard panel is available for Purchase and Accounts Payable homepage dashboards. It lists comments where the user has been mentioned.

Why It’s Useful

Users can keep track of comments that need their attention from the home page instead of relying on memory, reviewing emails, or searching individual transaction comment records.

Who Can Use It

All users with access to the Purchase or Accounts Payable module.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

– The newest mentioned comment appears first.

– Use Load More to display older comments.

– Each entry includes a link to open where the comment was added.

Important To Know

The dashboard panel shows only mentions for the signed-in user.

Invoice Documents Assigned to Me Dashboard Panel

What’s New

A new Accounts Payable home dashboard panel lists Invoice Documents currently assigned to the user.

Why It’s Useful

You can see assigned invoices directly from the dashboard and quickly identify and follow up on documents that need their attention.

Who Can Use It

Users with access to the Accounts Payable module.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

The dashboard panel displays the signed-in user’s currently assigned Invoice Documents in a table. To show more results you can press Load More.

Important To Know

The dashboard panel is user-specific and reflects the current Invoice Document assignments for the signed-in user.

POs Not Synced to Sage Intacct Dashboard Panel

What’s New

A new dashboard panel for the Purchase home page dashboards lists Purchase Orders that failed to sync to Sage Intacct, matching the equivalent filter available on PO search.

Why It’s Useful

Users can identify POs that failed to sync to Sage correctly from a dashboard and investigate them sooner, reducing the chance that integration failures go unnoticed.

Who Can Use It

The dashboard panel is available to users with access to the Purchase module on accounts where Sage Intacct PO export are enabled.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

– The dashboard panel lists Purchase Orders that failed to sync to Sage Intacct.

– Use Load More to display additional rows.

– The dashboard panel includes a Company filter, which defaults to All.

Important To Know

The dashboard panel has is available only for customers with Sage Intacct PO export enabled. Results are restricted by the signed-in user’s view PO view permissions.

6. General Enhancements

VAT-Inclusive or VAT-Exclusive Price Setting for PunchOut Orders

What’s New

PLANERGY can now treat item prices on PunchOut orders as Including VAT or Excluding VAT. When Including VAT is selected, PunchOut item prices include VAT when catalog items are submitted into PLANERGY and loaded on a new order. Price labels on PO, Invoice, and Item pages update to match the selected mode.

Why It’s Useful

Customers that work with VAT-inclusive supplier pricing and want to include VAT costs against their budgets can use prices in the same format as their standard purchasing process when using a PunchOut integrations.

Who Can Use It

PLANERGY accounts using PunchOut integrations.

How to Enable It

An administrator for your account should request that the feature be enabled by submitting a support ticket.

How It Works

– With Excluding VAT selected, the existing PunchOut integration price behaviour is unchanged.

– With Including VAT selected, item prices include VAT will be used as the item price when orders are created using a PunchOut integration.

– PLANERGY updates price labels to Price (Excl. VAT) or Price (Incl. VAT) to reflect the configured mode.

Important To Know

The default setting is Excluding VAT. The Including VAT behaviour applies when PunchOut items are submitted into PLANERGY and loaded on a new order.

Rename “Company” Field to “School”

What’s New

A new option allows the Company field to be displayed as School across PLANERGY, similar to the existing option for renaming Department.

Why It’s Useful

Education-sector customers with a PLANERGY structure that uses company as the school can use terminology that better matches their organisational structure, making PLANERGY clearer for end users.

Who Can Use It

Any PLANERGY account can be updated with this setting change.

How to Enable It

An administrator for your account should request that the feature be enabled by submitting a support ticket.

How It Works

When the option is enabled, PLANERGY displays School in place of Company across the application.

Important To Know

This option is designed to mirror the existing ability to rename Department and is intended to provide terminology that fits education-sector organisations.

Quick Approval via SSO

What’s New

Quick Approve links in PLANERGY emails now route through the Single Sign-On (SSO) login path for SSO-enabled customers instead of defaulting to password login.

Why It’s Useful

Approvers can use the Quick Approve option when a Single Sign-On integration is in use making it easier to approve purchases and invoices.

Who Can Use It

Approvers in PLANERGY accounts where SSO is enabled and the Quick Approve from emails option is enabled.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

When an approver selects the Quick Approve link in a PLANERGY approval email, the link routes them through the SSO login to assign their approval without accessing PLANERGY.

Important To Know

This improvement applies only to SSO integrated customers. If the Quick Approve option is disabled on the account the option will not be available to users.

Supplier Notes Included in PunchOut Comment

What’s New

Supplier notes are now included in the PunchOut Comment field of the order-request cXML sent when a PunchOut order is approved.

Why It’s Useful

Supplier-facing notes entered in PLANERGY can travel with the PunchOut order request, giving you additional options for communicating on orders placed using a PunchOut integration.

Who Can Use It

Customers using PunchOut ordering. The behaviour applies to both standard approval and quick approval flows.

How to Enable It

The new functionality is available automatically on all accounts after the upgrade.

How It Works

When a PunchOut order is approved, PLANERGY includes the supplier notes in the Comment field of the outbound order-request cXML. This occurs for both standard and quick approval.

Important To Know

Supplier notes entered for a PunchOut order are included in the outbound cXML sent as part of the order but this will depend on a per supplier basis if they support this field.

Improvements:

Procurement & Purchase Orders

  • Requester-Initiated Amend Request — The requester who created a PO can now select a “Request Amend” option during the amendment request flow, rather than only being able to Reject.
  • New Columns on Waiting for Approval Tables — Three new optional columns — Amend, Reason, and Last Comment — are available for customization on Waiting for Approval tables. Amend shows Yes/No, Reason shows the amend reason, and Last Comment shows the most recent comment on the record.
  • New Receive Button on Approved POs — A new Receive button has been added to approved, not-fully-received POs, positioned above the Replicate button. Clicking it opens the PO receiving page directly; the button is not shown on cancelled POs.
  • PO Posted Status Renamed to Synced — The PO “Posted” status has been renamed to “Synced” throughout, with the change reflected in the Audit Trail. The PO search “Posted Status” filter has likewise been renamed to “Synced Status,” with options All, Synced, and Not Synced.
  • Automatic Phone Number Population on Online Catalog Orders – The phone field is now automatically populated when an order is created via Online Catalog.

Accounts Payable & Invoice Processing

  • Earlier Duplicate Detection on Invoice Documents — Documents are now tagged as duplicates as soon as they are uploaded to Uninvoiced Documents if another document exists for the same supplier and invoice number — previously the duplicate tag was only applied once the document had been saved as an invoice.
  • PO Requester/Approver Included in Pre-Save Comment Suggestions – When a PO is detected on an Invoice Document but the invoice has not yet been saved, the suggested comment recipients now correctly include the PO requester and approver.
  • Clearer Actual vs Recognized Totals on Invoice Document View – The distinction between the actual Invoice Total / Total Paid and the OCR-Recognized Total has been made more visually prominent, reducing the risk of posting against the recognized figure by mistake.
  • Close Invoicing Button Fix for Mixed Fully-Invoiced POs (bug fix) – The Close Invoicing button now correctly appears when a PO is fully invoiced through a mix of ordered-item and free-text-item invoicing, a case that previously left the PO fully invoiced but without the Close Invoicing action, even though it still appeared on the Received Not Invoiced Orders report.
  • Refined Budget Check on Non-PO Invoice Deletion (bug fix — only checks budget when total is negative) – Non-PO Invoice deletion now checks the budget only when the invoice total is negative, removing an unnecessary block on deleting positive-total invoices with a closed budget.
  • Flag for Auto-Processed Quantity Mismatches — In addition to the existing warning icon shown when ordered quantity differs from invoiced quantity, a new warning icon now appears when the automatically OCR-processed quantity differs from the quantity on the invoice document; hovering the icon displays the actual Invoice Item Quantity.

Integrations (Sage Intacct)

  • Support for Voided Payments – Sage Intacct payment import now recognizes and correctly reflects payments that have been voided in Sage Intacct.
  • Payment Status Now Driven by Confirmed Payments (vs. merely selected) – Payment import has been corrected to pull confirmed payments from Sage Intacct rather than merely selected payments, so PLANERGY only updates payment status once a payment is fully confirmed in Sage Intacct.
  • Payment Import Fix for Top-Level Entity Postings (bug fix) – Fixed an issue where payment import failed for invoices posted at the top-level Sage Intacct entity.
  • Export All Invoice Attachments (previously only a subset) – Invoice export to Sage Intacct now includes all attachments on the invoice, not a subset.
  • Simplified Purchase Order Item Name Mapping – The Purchase Order Item Name mapping to Sage Intacct Item Description or Item Memo has been removed from the Sage Intacct simple settings page. PO Item Name is now exported to the Sage Intacct Item Description field, and PO Invoice Item Name / Non-PO Invoice Item Name are exported to the Bill Item Memo field.

Administration & Control Panel

  • Department Budget Closure Cascades to GL Code by Department – When a Department’s budget is closed for a financial year, the corresponding GL Code by Department budget for that year is now closed automatically as well.
  • Approval Rule Custom Field Step Type Now Includes PO Item Custom Fields – The Approval Rule Custom Field step type now also evaluates Purchase Order Item Custom Fields, and in-use approval rules validate against Purchase Order Item Custom Fields accordingly.
  • Ticket Permissions Added to User Permission Export – The user permission export now includes Ticket permissions.
  • Bulk Active/Inactive Toggle on Edit Items Popup – A new “Active” column has been added to the Edit Items popup, allowing multiple selected items to be activated or deactivated in bulk directly from the popup rather than editing items individually or via import.
  • Change Approver Allowed on Archived Approval Rules – It is now possible to change the assigned approver on an Approval Rule that has been archived.

Expense

  • Automated OCR for Expense Receipts – A new upload section on the Expense search page allows users to submit expense receipt images for automated OCR processing, giving Expense the same look, feel, and upload experience as the existing Invoice Document upload in Accounts Payable. The option requires the user to have at least one policy in Create Expense permissions and a Default Expense Policy set. Once the upload completes, an Info or Error message is shown and the Expenses table refreshes to reflect the newly created expense record.
  • AI Matching of OCR’d Receipts to Expense Types (Expense Max) – Active Expense Types are now fetched from the Enterprise environment and sent to Vision AI for best-match evaluation. The matched Expense Type is returned to Enterprise when the OCR’d data is submitted, but only when the match confidence exceeds a configurable threshold (default 70%).

Notifications

  • MS Teams API Compatibility Update – MS Teams notifications have been updated to support required changes in the MS Teams API, ensuring notifications continue to deliver correctly.

General Enhancements

  • Export to Excel for Integration Import History Details – A new “Export To Excel” button has been added to the Integration Import History Details page. The export uses a fixed, non-customizable column set and respects the currently applied search filters.
