Below are all the updates made in the release of PLANERGY that went live in November 2024.
The previous release in September did not receive an announcement and you might have missed the updates in that release. You can review here everything included in the September update release.
Accounts Payable – Invoice Multi Step Approval
The approval process for invoices have a number of new options that introduce the ability to set multi-step approval workflows for invoices.
PO and non-PO invoice approval can be set with different approval types.
Accounts Payable – Invoice Documents Improvements
Ability To Tag Invoice Documents With Custom Tags
Invoice documents can now be assigned with custom tags to group them together for easier review and reporting.
New invoices will automatically be flagged with the tag ‘New’.
Other tags can be created to account for any other scenarios where you might want to group invoice documents.
A common example would be to track scenarios for why the invoice cannot currently be processed. Eg ‘In Query – With Supplier’, ‘In Query – Internal GRN’, etc.
Invoice Date Column Added to Invoice Documents Search Results Table
The invoice date is now available as a column in the search results on the Invoice Documents page. This will help prioritize the processing of documents based on their date.
Recognized Total and Invoice Date Added As Available Columns On Invoice Documents Export
The export options on the Invoice documents page are now updated to include the scanned invoice date and the scanned recognized invoice total for the document.
Accounts Payable – Credit Notes Improvements
Credit Notes Return Values To The Budgets
When you process a credit note the value will be returned to the budget to give more accurate expenditure versus budget reporting.
Credit Notes Can Have Custom Fields At The Header Level and Item Level
Custom fields are now expanded to include credit notes and credit note items.
If you need to track additional information on credit notes you can add as many custom fields as needed to accommodate the additional information.
PO Number Filter Added To Credit Note Search
New filter to search credit notes based on the PO they have been linked to is available on the credit note search.
Integration – Sage Intacct – Integration Improvements
Add Customer import to Cost Code
Additional Sage Intacct Dimension mapping option added, Customer dimension can now be mapped to the PLANERGY Cost Code field.
Export Non-PO Invoices To Sage Intacct
Non-PO Invoices can now be exported to Sage Intacct.
Credit Note Export To Sage Intacct
Credit Notes can now be exported to Sage Intacct.
Export Invoice Documents
Invoice documents attached to the invoice in PLANERGY will now be exported to Sage Intacct.
This will allow the user to access the related documents directly in Sage Intacct to improve efficiency.
Multi-Entity Integration</h4?
Multi-entity Sage Intacct accounts are now supported with entity mapping to company in PLANERGY.
Additional Sage Intacct Dimension Mapping Options
Dimensions Departments, Location, and Class can be synced to fields in PLANERGY from Sage Intacct.
Department hierarchy, where it is present in Sage, will also be synced. If it is not present in Sage you can sync sub-departments in PLANERGY to their master department that is synced from Sage.
Import Tax Rates
The tax rates in PLANERGY can now be imported directly from Sage Intacct and synced using scheduled imports.
Integration History Improvements
Integration History is an audit trail of actions carried out by the integration with Sage Intacct. The tracking has been improved.
Accounts Payable – Orders Not Invoiced – GL Code Filter and Export Column Added
A new GL Code search filter is added to the Advanced Search options on the Orders Not Invoiced report. It is also to the available columns in the export.
Purchase – Purchase Order Search – GL Code Filter and Export Column Added
A new GL Code search filter is added to the Advanced Search options on the Purchase Order Search report. It is also added to the available columns in the export.
Advanced Reporting Improvements
Receive With Items – Due Date Period Filter Added
New due date period filter will allow reports to be scheduled to include due dates within a predefined period. This will particularly useful for reports on orders with overdue deliveries.
Ability To Scheduled Reports Based On The First Or Last Weekday of The Month
A new option in the report scheduling settings will allow you to no schedule report to the First Monday, Tuesday, etc. of the month.
It will also be possible to schedule reports to the Last Monday, Tuesday, etc. of the month.
This will be very useful, in particular, for month end reports.
Unreceived Orders Report – Requested Date, Approved Date, and Master Department Columns Added
Requested Date, Approved Date, and Master Department are now available as columns for inclusion in the Unreceived Orders Report.
Custom Fields – Add Automation For Assigning Custom Fields Linked To Suppliers and Items On The PO
If you assign custom fields to a supplier or item and also add the custom field as a custom field on the PO then the data linked to the supplier o item will auto-populate on the PO. The is greatly increases the options for automation.
Integration – Twinfield – Invoice Export – Export Sub-Department Orders To The Master Department
It will now be possible to set sub-departments in PLANERGY that will export to the Master Department synced from Twinfield’s Cost Centres.
Integration – Exact – Exclude Data From Supplier Import
Supplier data relevant to Exact can be different to the information required for PLANERGY.
For example, the contact person for accounts and sales will be different.
To avoid scheduled imports from Exact overwriting updated data in PLANERGY the supplier’s email address, phone number, and contact details will be excluded from the import.
Purchase – Emails – The Subject For Pending Changes Approval Request Emails Start With [Approve]
The start of email subjects for approval requests were updated to include ‘[Approve]’ to make them easier to identify in your Inbox.
This update is now also applied to approval for edits to POs. The Pending Changing Approval Request will include ‘[Approve]’ at the start of the email subject.
Accounts Payable – New Report Showing POs With Closed Invoicing Status
A new report type is available in Accounts Payable Advanced Reporting.
The ‘PO with Closed Invoicing’ report allows you to create custom reports for POs that have a closed invoicing status and no longer have an outstanding commitment.
Accounts Payable – Check if invoice number is a duplicate when user First Enters The Data
Previously the check if an invoice number is a duplicate only occurred after you try to save the invoice.
This check now occurs earlier so you don’t have to complete processing the invoice before you are made aware that the invoice is a duplicate.
Control Panel – Department – Increase The Number of GL Codes That Can Be Linked To A Department
Previously there was a restriction that only 15 GL Codes could be linked to a Department and assigned with a budget.
This restriction has now been removed and as many GL Codes as needed can be linked to a department.
Purchase – Quick Approve Error Fixed Double
When using the Quick Approve directly in email approval requests some users reported an error.
This was caused by double clicking the button quickly. The first click assigned approval and the second caused an error. The error is now fixed.
