Purchase Module Updates

 

Purchase – Approver Dashboard Added

Additional Approver dashboard accessible from the Home page dashboard using a new tab gives you easy access to expenditure versus budget reporting.

 

Purchase – Close Invoicing of a PO Returns Uninvoiced Values to The Budget

When a PO is manually closed for invoicing the value of the uninvoiced items will be returned to the budget. They are no longer expected to be matched to an invoice and paid for.

 

Purchase – Receiving – Close Receiving Returns Unreceived Item Values to The Budget

When a PO is manually closed for receiving the value of the unreceived items will be returned to the budget. They are no longer expected to be received and paid for.

 

Purchase – Advanced Reporting – New ‘Department Budget Balance By PO line Item’ Report Added

A new report has been added to Purchase > Advanced Reporting > Expenditure. Department Budget Balance By PO line item shows the impact of individual line items against the department budget.

 

Purchase – Option to Remove Cost Code Field

Cost Code can now be removed as a field at account level. If you do not use the field this means you can remove it from the PO form.

 

Purchase – Option to Set Default Cost Code

It is now possible to set a Cost Code as the default Cost Code. This will auto populate on the PO form.

 

Purchase – Reason for Edit Visible on PO Pending Changes Approval Request Email

When Editing the PO, the reason for edit is now visible on the approval request email and on Pending Changes tab. This makes it easier for the approver to review before approving.

 

Purchase – Invoices Tab – Invoice Paid Column Label Updated

On the Invoices tab of the View PO page the Invoice Paid column label has been updated to Invoice Total Paid.

 

Purchase – Restrict Close Invoicing When an Invoice Is Not Approved

When at least one invoice that is linked to a PO is not approved it is not possible to manually close the invoicing for the PO.

 

Purchase – Receiving – Approved By Column Added to Receiving Reports

‘Approved By’ has been added as an available column to the ‘Receiving Basic’ report and ‘Receiving With Items Basic’ report. The column will list the final approver on the PO.

 

Purchase – Ability to Close Receiving Linked to Order Cancellation Permission

With the update that closing the receiving step returns values to budgets, it is no longer possible for all users with Goods Received permission to close an order for receiving.

Only user who have Order Cancellation and Goods Receiving permissions are now able to Close or Open Order Receiving.

 

Purchase – Purchase Order Pending Changes Approval Request Email Updated

We have updated the text for the links in the edit approval request email.

 

Purchase – Ability To Forward POs For Approval When You Were Not Directly Involved With The Order Added

Users with Order On Behalf permission for a department will now be able to forward any order in the department for approval.

Previously this was restricted the user that requested the order or one of the approvers in the approval chain. This also impacts edit approvals.


 

 

 

Accounts Payable Module Updates

 

Accounts Payable – Advanced Reporting – Invoice Documents Report Has New Filters Added

Company and Tag have been added as new filters in  the Invoice Documents report.

 

Accounts Payable – Change PO Button Added

A new button, Change PO, has been added next to Import Items button. On the New PO Invoice document page.

This will clear data related to the PO and items available for import making it simpler to choose a new PO if the wrong PO was automatically assigned incorrectly.

 

Accounts Payable – GL Description Now Visible When Hovering over GL Code

GL Description is now visible when you hover over the GL Code when viewing an invoice.

This makes it easier to check the coding is accurate without knowing the individual codes just based on their number.

 

Accounts Payable – Restrict Deleting an Invoice Linked To A Manually Closed PO

It is now not possible to delete an invoice if the POs invoicing status has been manually closed on any PO linked to the invoice.

Accounts Payable – Restrict Editing an Invoice Linked to a Manually Closed PO

It is now not possible to edit an invoice if the POs invoicing status has been manually closed on any PO linked to the invoice.

 

Accounts Payable – Advanced Reporting – Invoice Report Has New Filters Added

Invoice Type and Posting Date filters were added to the Invoice report type in advanced Reporting.

 

Accounts Payable – Number of Invoices Processed Dashboard Panel and Report

A new dashboard panel has been added. This displays the number of invoices created per Company. It includes Date, Period, and User filters.

Accounts Payable – Invoice Documents – Invoices Now Visible Before They Are Processed

When an invoice is received by email by PLANERGY it is now immediately visible in the Invoice Documents list with the status ‘Processing’. This gives earlier visibility that the invoice has been received. It’s status will update after the invoice has been scanned and data extracted.

Accounts Payable – Over-invoiced Values on An Invoice Impact the Budget

When a PO is over-invoiced the value is taken from the relevant budget.


 

 

Purchase and Accounts Payable updates:

 

Purchase and Accounts Payable – Dashboards Page Added

Dashboards have been moved to a separate page. This gives both Advanced Reporting and Dashboards more space and quicker access from the main menu.

Purchase and Accounts Payable – Custom Dashboards and Dashboard Filters

It is now possible to create entirely custom dashboards with a custom name. A plus (‘+’) button has been added to add a new tab on Purchase and Accounts Payable Dashboard pages.

We have added the option to add dashboard filters to custom dashboard.


 

 

Integration Updates

 

Sage Intacct

 

Sage Intacct – Payment Information Reporting

When an invoice is paid in Sage Intacct it will now be visible directly in PLANERGY. Users can be given permission to see relevant invoices to reduce queries to the finance team.

Sage Intacct – Support for Mapping User Defined Dimensions

Custom defined dimensions in Sage Intacct can now be mapped to custom fields in PLANERGY.

Sage Intacct – Item import into Custom Field

Item dimension in Sage Intacct can now be mapped to custom fields in PLANERGY.

Sage Intacct – Improved UI For Field mapping

The user interface for mapping fields and dimensions between PLANERGY and Sage Intacct has been improved to make it easier to complete the mapping.

Sage Intacct – Journal entries impact budgets in PLANERGY

Journal entries in Sage Intacct can now be imported and impact budgets in PLANERGY. This results in a more accurate budget versus expenditure report for budget holders.

Sage Intacct – Purchase Order export to Sage Intacct

New option added to export POs to Sage Intacct to allow commitment reporting directly in Sage.


Integration – Xero – Payment Info

Payment details have been updated – when invoice is paid, and then voided: when bill is voided in Xero, payment status will be voided, and all paid values from invoice will be removed.

 

Integration – PunchOut – Basic Authentication Supported

PunchOut integrations now support basic authentication using username and password.

This adds additional support for the integration with YPO where they use Babelway to manage receiving of the PO data.

Other suppliers with similar implementations of PunchOut will also be supported with this update.

 

Integration – PLANERGY CheckOut – IKEA Online Catalog Supported

Ikea’s online catalogue is now supported in latest update to PLANERGY CheckOut.


 

 

Control Panel Updates

Control Panel – Department – Total Budget and Expenditure Section Added To GL Code Budgets Set On The Department

Summarized total values have been added below Budget and Expenditure columns in the Budget by GL Code section of the View and Edit Departments Page.

 

Control Panel – Suppliers – Easier Cancelling of an Edit Requiring Approval

Canceling an edit to a supplier is now possible by the user requesting the edit. Previously it required the approver to approve or reject.

 

Control Panel – General Ledgers – Custom Fields Now Available

It is now possible to assign custom fields to the GL Codes.

This can be used for additional automation. When a GL Code is selected a custom field on the PO can be automatically populated based on the custom field data assigned to the GL Code.

The layout of the Multi-Field Address format has been updated throughout PLANERGY.
